DWG Members Website Privacy Statement

DWG know that you care about how information about you is used and we appreciate your trust in us to do that carefully and sensibly.

Please read our Privacy Statement carefully before using the DWG members’ website. In this Statement "we", "us" and "our" means the Digital Workplace Group and "you" means the individual who is using the Site.

This statement describes:

  • when we collect information about you
  • which type of information we collect about you
  • how this information is stored
  • how, if and when this information is usedhow we keep your personal information safe

When submitting a contact us form, a feedback form, when registering for a DWG event or when purchasing a product from our online store, you are accepting and consenting to the practices described in this Privacy Notice.

Do we ask for personal information?

Yes, we do when you;

  • Submit a contact us form
  • Submit a feedback form
  • Submit a registration form
  • Submit a registration and payment form

When you submit a contact, feedback or registration form we will ask you to supply your name, email address and contact details. We may also ask you to indicate the membership service(s) you are interested in finding out more information about. If you have access to the DWG member website many of these fields will be pre-populated for you.

The DWG require this information to process your information request quickly and efficiently. You will receive a confirmation email for all transactions completed online at the DWG members' website including for example joining instructions for a DWG event and download instructions for a DWG product.

When you submit a registration and payment form, our e-commerce partner Barclays will request your name, contact details and personal details including for example your credit card number, credit card start and expiry date.

Barclays will use this information to obtain authorisation of the transaction from the issuer of your credit or debit card and the DWG's bank to process the payment. Barclays will make some of the transaction details available to the DWG for reporting purposes including for example your name, product purchased and date of purchase.

How do we store your information and is it safe?

The DWG and Barclays are committed to protecting the security of your data and use a variety of security technologies and procedures to help protect your personal information from unauthorised access, use or disclosure.

The DWG store your information in the DWG members’ website, powered by Yourmembership.com. Access to information is controlled by user name and password combinations and the DWG web team have secure process in place to administer and maintain unique user credentials. DWG member’s website data is stored and backed up by Yourmembership.com who have process in place, to ensure data is kept fresh, fault tolerant and highly available.

We may additionally store your information on our secure CRM database

The DWG will not keep your information for longer than is necessary and will take steps to ensure that it is kept up to date. You have a right under the Data Protection Act 1998 to ask what information we hold about you. You can do this by writing to us at Digital Workplace Group, 30 City Road, London EC1Y 2AB.

Do we use cookies?

What are cookies? Cookies are text files, used by your computer's browser, that store visitor session data. Cookies, by themselves, do not identify the individual user. Cookies are commonly used on the internet and do not harm your system.

The DWG uses cookies to ensure your privacy and to store login details for our secure sites. We also use cookies to gather information about how you use our sites and to evaluate the effectiveness of any advertising and promotion.

DWG does not store any personal information in cookies (on any computer that you may use) that can be used to identify you.

How will we use the information we collect about you?

The DWG will use your personal information in the following ways:

  • to improve and develop the membership services we offer
  • to tell you about any changes to our membership services and to keep you up to date with news and other services which we think will be of interest to you.

When we tell you about changes to our membership services and provide you with information we think will be of interest to you, we will do so either by e-mail or electronic newsletter. You can unsubscribe from these mailings at any time.

Will we share your information with anyone else?

No. The DWG will not share your information with third parties, or make any use of it, without your permission (unless we are required to do so by statute or by an authorised body in order to aid the investigation or prevention of crime).

What else should I know about my privacy?

Please keep in mind that whenever you voluntarily disclose personal information online - for example on message boards, through email, or in chat areas - that information can be collected and used by others. In short, if you post personal information online that is accessible to the public, you may receive unsolicited messages from other parties in return. Furthermore, while we strive to protect your personal information, DWG cannot ensure or warrant the security of any information you transmit to us, and you do so at your own risk.
